Overview

Monash University’s Clayton campus functions like a small city, with dozens of retailers and buildings, a vast research infrastructure, and a stadium-size crowd of students, staff, external contractors, and visitors attending the different campuses every single day. This scale creates major operational complexity, particularly when managing thousands of contractors across a multitude of services, often arriving at similar times, early in the morning.

Under their previous contractor management system, Monash was grappling queues at the check in kiosks, due to manual check-ins, long induction times, an enormous hardware fleet, and a compliance nightmare. By implementing Sine’s end-to-end solution, the university transformed fragmented, ad hoc processes into integrated and mobile workflows that deliver efficiency at scale.

"Sine transformed what was an unmanageable compliance challenge
into a streamlined, automated system. We’ve cut contractor induction times in half and reduced hardware maintenance by 80%, and we’re only getting started. At the scale Monash operates, that’s a significant win.”

THE CHALLENGE

The challenge of the scale

university

At Monash University, the sheer size of operations and number of people on campus creates unique pain points. Minor delays and inefficiencies become major friction points when multiplied across 950 active contractor companies and over 10,000 individual contractors, from groundskeepers and cleaners to IT, security, and events teams.

For compliance and safety reasons, it’s essential to track who is on campus at any time. But varied work arrangements, daily versus sporadic attendance, and high-risk environments such as tunnels, labs, and medical facilities demanded strict verification that wasn’t being reliably enforced.

Key pain points before Sine

  • Contractors had to drive or walk across a sprawling campus to sign in at a kiosk.
  • Complex hardware and printing of visitor stickers (for contractors) required constant IT maintenance and troubleshooting.
  • Buddy sign-ins and manual workarounds undermined compliance.
  • One-size-fits-all safety inductions ran over an hour, contractors actively avoided them and couldn’t complete them remotely, prior to attending campus. They had to report to reception and wait to be given a laptop/tablet to complete an induction onsite.
  • No reliable end-to-end visibility over contractor engagement or certification status.
“Before Sine, we were dealing with manual check-ins, buddy sign-ins, and inductions that contractors were actively avoiding. Now, everything from geo-fenced auto check-in to tailored induction content runs seamlessly, and we have full visibility over 10,000 contractors across our campuses. It’s changed how we operate.”

THE SOLUTION

A comprehensive solution for contractor management

Sine replaced the kiosk model with a mobile-first, geofenced system that integrates sign-in with safety inductions and compliance checks, all in a single unified platform. By centralising data and streamlining workflows, the system is simpler for contractors and more robust for the university.

Safety Induction & Training Records Verification

Key capabilities

  • Geofencing for auto check-in/out. Contractors are automatically checked in and out when they enter and leave the campus, helping to reduce the ‘last mile’ problem and buddy sign-ins.
  • Mobile-first experience. Sign-in moved from desktop kiosks to locked iPads, with an option to download a mobile app, reducing hardware maintenance.
  • Self-service onboarding. Digital portals allow contractor companies to manage their own staff inductions and upload compliance documents.
  • Tailored communications. Contractors are segmented by department, contract type, and attendance frequency for targeted, relevant induction content.
  • Reporting and analytics. Check-in data doubles as a compliance auditing tool, cross-referenced with monthly invoices to verify attendance and hours.
  • Single source of truth. The platform acts as a centralised database for safety information, policies, and documentation, including hazardous materials protocols.

At Monash’s scale, every point of efficiency becomes significant. With Sine now handling all contractor workflows at the Clayton campus, as well as the university’s other campuses across Victoria and in Malaysia, Monash has already seen an 80% reduction in hardware maintenance by shifting from kiosks to iPads. Moving contractors entirely to the mobile app is expected to reduce the remaining 20% overhead.

Through contractor segmentation, induction time has been cut roughly in half, from over an hour down to around 30–35 minutes, by delivering contractor-specific content rather than a blanket session for everyone.

Beyond core capabilities, unexpected use cases have emerged: validating clean data against multi-million dollar contracts, segmenting contractors like a CRM, and generating personalised communications, demonstrating how a large-scale customer can extract even greater operational value from the platform.

“If it works at Monash, it works anywhere.”
