Monash University’s Clayton campus functions like a small city, with dozens of retailers and buildings, a vast research infrastructure, and a stadium-size crowd of students, staff, external contractors, and visitors attending the different campuses every single day. This scale creates major operational complexity, particularly when managing thousands of contractors across a multitude of services, often arriving at similar times, early in the morning.
Under their previous contractor management system, Monash was grappling queues at the check in kiosks, due to manual check-ins, long induction times, an enormous hardware fleet, and a compliance nightmare. By implementing Sine’s end-to-end solution, the university transformed fragmented, ad hoc processes into integrated and mobile workflows that deliver efficiency at scale.
At Monash University, the sheer size of operations and number of people on campus creates unique pain points. Minor delays and inefficiencies become major friction points when multiplied across 950 active contractor companies and over 10,000 individual contractors, from groundskeepers and cleaners to IT, security, and events teams.
For compliance and safety reasons, it’s essential to track who is on campus at any time. But varied work arrangements, daily versus sporadic attendance, and high-risk environments such as tunnels, labs, and medical facilities demanded strict verification that wasn’t being reliably enforced.
Sine replaced the kiosk model with a mobile-first, geofenced system that integrates sign-in with safety inductions and compliance checks, all in a single unified platform. By centralising data and streamlining workflows, the system is simpler for contractors and more robust for the university.
At Monash’s scale, every point of efficiency becomes significant. With Sine now handling all contractor workflows at the Clayton campus, as well as the university’s other campuses across Victoria and in Malaysia, Monash has already seen an 80% reduction in hardware maintenance by shifting from kiosks to iPads. Moving contractors entirely to the mobile app is expected to reduce the remaining 20% overhead.
Through contractor segmentation, induction time has been cut roughly in half, from over an hour down to around 30–35 minutes, by delivering contractor-specific content rather than a blanket session for everyone.
Beyond core capabilities, unexpected use cases have emerged: validating clean data against multi-million dollar contracts, segmenting contractors like a CRM, and generating personalised communications, demonstrating how a large-scale customer can extract even greater operational value from the platform.
