St John of God Health Care set out to replace paper-based sign-ins and bring consistency to contractor compliance across its national hospital network. Background

Managing contractors and work-capacity visitors across a national hospital network is both an operational necessity and a compliance responsibility. Traditionally contractor access management was managed independently at the 17 sites, this resulted in a mix of paper-based and electronic sign-in systems.

The organisation saw an opportunity to replace this with a single, enterprise-grade solution, one that could standardise contractor compliance, replace paper sign-ins and deliver a consistent experience for contractors and administrators across every site. They selected Sine by Honeywell for its configurable induction framework, cross-site authorisation capabilities and the ability for their own team to manage and update content directly, without relying on external support.

With Sine in place, contractors complete relevant induction modules before signing in for the first time. Modules cover a general organisational induction, manual handling, permit-to-work processes for high-risk activities, clinical and infection control protocols, and site-specific requirements where applicable. Once completed, inductions remain valid across the network, so contractors moving between hospitals do not need to start the process again.

Compliance requirements are applied automatically. If a contractor has outstanding modules, the system holds their sign-in and sends a direct link to their phone or email so they can complete the requirements before accessing the site.

This removes the need for front-desk caregivers to manually check paperwork and helps verify that every contractor is inducted before entering, without adding to the workload of on-site teams.

Induction content is fully configurable. Electricians and plumbers complete trade-relevant modules; nursing agency caregivers work through a separate module focused on clinical competencies; medical representatives go through a formal, consistent sign-in process. The right requirements are applied to the right people, reflecting the specific demands of a busy hospital environment.

Operational Efficiency and On-Site Visibility

Mobile sign-in and geofencing give St John of God Health Care real-time visibility of contractor activity across its sites. When contractors sign in via mobile, Sine detects when they leave the premises, even without a manual sign-out.

The Sine Pro app lets administrators see a live view of everyone on site from anywhere on campus, making it straightforward to locate and contact a specific contractor without returning to a sign-in register.

For contractors who work across multiple hospitals under national agreements, the process is equally streamlined. Once insurance documents or Safe Work Method Statements are uploaded and approved at one site, that authorisation applies automatically across the network. Following the contractor roll-out, St John of God Health Care extended Sine to other work-capacity visitor groups. Nursing agency staff, for example, had previously been managed through a manual process that required managers to spend up to an hour each day entering handwritten sign-in data into spreadsheets to report back to agencies. With Sine, the same reports are generated in around 2 minutes. Data is delivered to agency partners in a consistent, structured format every time, with no manual entry required.

Sine is also in use for managing professional visitors to theatres at select hospitals. The organisation plans to expand this capability further across the network as the roll-out progresses.

Healthcare organisations manage sensitive information at scale and are held to strict governance and privacy standards. Before proceeding with the enterprise agreement, St John of God Health Care's IT and privacy teams assessed how Sine handles data, including storage, access controls, biometric data management and record deletion.
