Keeping your staff and workplace safe is one of the most important things when it comes to visitor and contractor management.

Recently, WHO (The World Health Organisation) has declared the Wuhan Coronavirus as an extraordinary event that puts the public's health at risk. The announcement comes as the virus spreads quickly around the world with cases traveling as far as Australia.

Now is an important time to take extra safety precautions when welcoming visitors and contractors onto your site.

One of these precautions is pre-screening. Pre-screening allows you to qualify visitors and contractors prior to them arriving at site with check-in forms and Sine Workflows.

Pre-Screening Visitors And Contractors

With the outbreak of the Coronavirus, you need to know if your site's visitors and contractors are experiencing any symptoms that may be linked to the Coronavirus.

Pre-Screening With Check-in Forms And Invites

With Sine, you can send invites to people who will be visiting your site, whether it's for a meeting, job interview or site inspection. When you send the invite, you will be required to fill out some key information about the visitor and include a message. Within this message, you can include a link to your site's  check-in form which will include questions used to pre-screen the visitor.

Alternatively, all visitors and contractors will be required to complete the check-in form when they arrive on site.

Pre-Screening With Sine Workflows

Sine Workflows allows you to send required workflows to a contractor before they arrive on site. These workflows cover things like inductions, permits, SWMS, access requests, and inspections.

With Sine Workflows, you can pre-screen your contractors and require them to be approved before they can access your site.

Once you've sent out a workflow and it has been completed, they will be in a 'pending approval' state. You can then review their responses and approve or reject them based on the responses.

Questions to Include In Your Check-in Forms and Workflows

When addressing the Coronavirus, and pre-screening your visitors and contractors, these are the questions you should include in your check-in forms and workflows:

  1. Have you traveled overseas in the past 14 days?
  2. Have you experienced any flu symptoms, such as coughing, fever, headache, or sore throat in the past 14 days?

From these 2 questions, you can decide what action needs to be taken.

What Can You do Personally?

The Australian Government Department of Health has provided some help on how people can protect themselves from the Coronavirus.

For prevention, everyone should practice good hygiene, which includes:

  • washing your hands with soap and water
  • using tissues to cover your mouth when you cough or sneeze
  • avoiding close contact with others, such as touching
